CRM Sync Without Copy-Paste for Real Estate

Stop retyping buyer and seller details across tools. Ayothedoc installs a real estate CRM sync that keeps leads, listings, and notes live in one place.

Where this sits

Layer 2 of the AI Operating System: it plugs into the tools you already run on.

In real estate, the average lead touches four or five systems before it ever becomes a closing. A buyer inquiry lands in your inbox, a showing gets booked on your calendar, notes get scribbled into your CRM after the fact, and the listing platform has its own copy of everything. By Friday, no one is sure which record is right, and the assistant has spent half the week retyping names, phone numbers, and property addresses.

The Ayothedoc AI Operating System (AIOS) fixes the plumbing first. We install a Connections layer that keeps your CRM in sync with the tools you already run on, so buyer and seller data flows in one direction, stays current, and never depends on a human remembering to copy it over. You stay the owner of the system. We just make sure the pipes are clean.

Where this sits in your AI Operating System

This page sits inside the Connections layer of the AIOS, the layer that handles live data movement between your CRM, inbox, calendar, billing, and listing tools.

  • Context: we capture which fields matter in your business (buyer vs seller, source, property, agent owner) so the sync respects your pipeline, not a generic template.
  • Connections (this page): the CRM becomes the source of truth, and other tools read from and write to it on a defined schedule.
  • Capabilities: once data is clean, the 60-Second Lead Engine, follow-up drafts, and showing reminders can actually trust what they read.
  • Cadence: sync runs on a schedule and on event triggers, not when someone remembers to hit refresh.

What “done” looks like

  • One CRM record per lead, with source, property of interest, agent owner, and last touch always current.
  • New inquiries from your website, portals, and inbox appear in the CRM within 60 seconds, deduplicated against existing contacts.
  • Showings booked on the calendar write back to the CRM as activities, with the property linked.
  • Listing status changes (active, under contract, closed) update every related contact record without manual edits.
  • A weekly data health report flags duplicates, missing phone numbers, and stale leads with no next step.
  • Zero copy-paste between inbox, calendar, CRM, and listing tools for standard buyer and seller workflows.

How we install it

  1. Audit (free, about 10 minutes): we map your current tools, where data lives, and where the retyping happens. You get a short written plan showing the sync paths we would build and what stays manual on purpose. Run the audit.
  2. Install (10 business days): we connect your CRM, inbox, calendar, and listing or portal feeds, define the field mapping, set the dedupe rules, and run the sync against a sample of real records. You sign off before it goes live.
  3. Operate (ongoing): the sync runs on schedule and on triggers. We add one new automation per week on top of the clean data, monitor errors, and adjust mappings as your pipeline evolves. See plans.

Expected results

  • Most real estate teams recover 6 to 12 hours per agent per month that used to go to manual CRM updates and chasing missing fields.
  • Lead response time drops from hours to under 60 seconds once the CRM is trusted as the source of truth.
  • Duplicate contact rates typically fall from 15 to 25 percent down to under 3 percent within the first 30 days.
  • Pipeline reports start matching reality, so weekly sales meetings stop arguing about whose number is right.
  • Our standing guarantee: recover 40 or more hours a month across the business, or we keep working free until you do.

Frequently asked questions

Do we have to switch CRMs to make this work?

No. We are tool-agnostic and work with the CRM you already use. If your current CRM genuinely cannot support the sync, we will say so in the audit, but switching is rare.

What happens to the duplicate and messy records we already have?

During install we run a one-time cleanup against your existing database, merge clear duplicates, and flag the ambiguous ones for your team to review. We do not delete anything without your sign-off.

Will agents still be able to edit records by hand?

Yes. The sync is there to remove retyping, not to lock anyone out. Agents keep full edit access, and the system respects manual changes as the most recent truth.
