Inbox Triage and Reply Drafts for SaaS Companies

Done-for-you inbox triage and reply drafts for SaaS companies. Sort support, sales, and churn signals fast, with drafts ready in your voice every morning.

Where this sits

Layer 3 of the AI Operating System: done-for-you workflows that produce real artifacts.

If you run a SaaS company, your inbox is a mix of support tickets, trial questions, billing issues, churn warnings, partner pings, and the occasional investor note. Each one needs a different response, and the cost of a slow or wrong reply is real. Trials go cold, paying customers escalate to refund threats, and your team burns hours just deciding who should answer what.

The Ayothedoc AI Operating System installs an inbox triage and reply drafting capability that reads each new message, classifies it, routes it to the right person or queue, and writes a draft response in your voice. You still hit send. The system just removes the sorting, the staring, and the blank cursor.

Where this sits in your AI Operating System

This page covers a Capabilities layer in the AIOS. Capabilities are the done-for-you workflows that draft, route, summarize, and follow up. Inbox triage and reply drafts sits next to the other Four Cs:

  • Context: your product, plans, common objections, refund policy, and tone are loaded in so drafts sound like you, not a generic bot.
  • Connections: the system reads from your shared inbox, help desk, CRM, and billing tool so it sees the customer's plan, usage, and history before drafting.
  • Capabilities: classification, routing, summarization, and reply drafting run on each new message.
  • Cadence: triage runs continuously during business hours, with a morning digest and an end-of-day cleanup pass.

What “done” looks like

When this capability is installed, here is what you get:

  • Every new inbound email is classified within 5 minutes into categories you approve, for example: support, billing, sales, churn risk, partner, vendor, recruiting, noise.
  • Each message arrives with a one to three sentence summary and the relevant customer context (plan, MRR, last login, open tickets) pulled in automatically.
  • A reply draft is waiting in the thread for any message that needs a human response, written in your voice, with the right links, policies, and next step.
  • High-risk messages (churn signals, angry customers, security questions, enterprise leads) are flagged and routed to the right owner with a Slack or email ping.
  • A weekly report shows volume by category, median response time, and the top five recurring questions, so you know what to fix in product or docs.

How we install it

We install this capability the same way we install every part of the AIOS, in three phases:

  1. Audit (free, about 10 minutes). We look at a sample of your inbox, your current categories, and your reply patterns. You leave with a written plan. Run the audit.
  2. Install (10 business days). We load your Context (product, plans, policies, voice), connect your inbox and CRM, build the triage rules and reply templates, and run a shadow week where drafts are created but not sent until you approve the tone.
  3. Operate (ongoing). Triage runs every day. We ship one new automation per week, tune the categories as your product changes, and keep the draft quality on target. See plans.

Expected results

Real ranges we see for SaaS teams after install:

  • Median first response time drops from 6 to 24 hours down to under 30 minutes during business hours.
  • Founders and support leads recover 8 to 15 hours per week previously spent sorting, reading, and drafting.
  • Trial-to-paid conversion lifts 5 to 12 percent because trial questions get answered the same day.
  • Churn-risk emails are caught the day they arrive, not the day after the cancellation.
  • Standing guarantee: across the full AIOS, you recover 40 or more hours per month, or we keep working free until you do.

Frequently asked questions

Does the system send replies on its own?

No, by default it drafts and you send. We can enable auto-send later for narrow categories like password resets or receipt requests, but only after you have seen the drafts run clean for a few weeks.

Will the drafts sound like our brand or like generic AI?

They sound like you. During install we load your past replies, your product language, and your tone rules into the Context layer. If a draft drifts, we tune it. You always own the system and the prompts.

What about sensitive data and customer privacy?

We use the least AI necessary. Messages are processed through your existing inbox provider and the model you approve, with no copies stored outside your stack. We can scope what is sent to the model and redact fields you flag, like payment details or personal identifiers.
