Automated Client Reporting for Law Firms
Done-for-you recurring client reports for law firms. Matter updates, billable summaries, and next steps sent on a schedule in your firm's voice.
Where this sits
Layer 4 of the AI Operating System: it runs on a schedule, no human prompt needed.
Law firm clients ask the same question in different ways. Where are we on my matter, what has it cost so far, and what happens next. Partners and associates know the answers, but writing a clean update takes time that is not billable and easy to push to Friday, then to Monday, then to never. Clients notice the silence and start calling.
The AIOS solves this by running client reporting on a cadence. It pulls the latest matter activity, time entries, documents filed, and upcoming deadlines from the tools your firm already uses, drafts a clear update in your voice for each active client, and routes it to the responsible attorney for a quick review before it goes out. You stop chasing the report and start approving it.
Where this sits in your AI Operating System
This capability sits in the Cadence layer of your AI Operating System. Cadence is what makes work happen on a schedule, without anyone asking. It depends on the other three layers to do its job:
- Context: your firm's tone, practice areas, client tiers, and what each client cares about hearing.
- Connections: your practice management system, time and billing tool, document store, calendar, and email.
- Capabilities: the report-drafting workflow that turns raw matter data into a readable client update.
- Cadence: the schedule that runs reports weekly, biweekly, or monthly per client, and the review queue that puts each draft in front of the right attorney.
What “done” looks like
When this is installed, here is what you get on a recurring schedule:
- A client-ready report per active matter, drafted in your firm's voice, sent on the cadence the client agreed to.
- Each report includes matter status, work completed since the last update, hours and fees to date against the budget, upcoming deadlines, and clear next steps.
- A review queue where the responsible attorney can approve, edit, or hold the draft, with a 24 hour SLA from draft to send.
- An internal partner digest every Monday showing which clients were updated, which are overdue, and which reports flagged budget or deadline risk.
- An archive of every sent report stored against the matter file for future reference and audit.
How we install it
Installation runs in three phases, the same for every AIOS engagement:
- Audit (free, about 10 minutes): we look at your active matter list, current reporting habits, and the systems that hold time, documents, and deadlines. Run the audit.
- Install (10 business days): we connect your practice management, billing, and email systems, capture your firm's reporting voice from past examples, build the report template per practice area, and set the cadence per client. We test on three real matters before going live.
- Operate (ongoing): the system runs on schedule, your attorneys review drafts in minutes instead of hours, and we add one new automation per week from your backlog. See plans.
Expected results
Based on firms we have worked with and the inputs this capability uses, you can expect:
- Report drafting time drops from 30 to 45 minutes per client per cycle to a 3 to 5 minute review.
- On-time client reporting rate moves from roughly 50 to 70 percent to above 95 percent.
- Inbound client status questions fall by 40 to 60 percent within the first 60 days.
- Partners get back 6 to 12 hours per week previously spent writing or chasing updates.
- Standing guarantee: across your full AIOS, you recover 40 or more hours a month, or we keep working free until you do.
Frequently asked questions
Will clients know the reports were drafted by a system?
The drafts are written in your firm's voice using your matter data, and an attorney reviews and approves every report before it sends. Clients receive a human-approved update from their lawyer, on time.
What if a matter is sensitive or confidential in a way that needs extra care?
You can flag any matter or client as review-only, which means the system drafts internally but never sends without explicit approval. You can also exclude matters from automated reporting entirely.
Does this work with our existing practice management and billing software?
Yes. The AIOS is tool-agnostic and connects to the systems you already use for matters, time, and documents. We confirm the specific connections during the free audit before any install work begins.
