Client Onboarding Automation for Law Firms

Done-for-you onboarding sequence for law firms. Every new client gets engagement letters, intake, and next steps without a partner chasing the file.

Where this sits

Layer 3 of the AI Operating System: done-for-you workflows that produce real artifacts.

You signed the client on Friday. By Wednesday, the engagement letter still is not countersigned, the intake form is half done, the conflicts check is sitting in someone's head, and the paralegal is asking what matter number to use. The work has not started, but the clock on client experience has.

Law firm onboarding fails in the seams. A partner closes the deal, then drops the file on whoever is closest. Welcome emails are written from scratch. Intake forms get emailed as attachments and come back incomplete. The first real touch from your firm after the client says yes is often a request for more documents, which is exactly the wrong note to open on.

The AIOS installs a Client Onboarding Automation capability that runs the first 14 days for you. The moment a new client is marked won in your CRM, the system sends the engagement letter, requests the intake, opens the matter, schedules the kickoff, and routes the file to the right team, in your firm's voice, on a predictable schedule.

Where this sits in your AI Operating System

This page covers a Capability inside the AIOS, the third of the Four Cs. Capabilities are the done-for-you workflows that actually do work. Onboarding sits alongside the rest of the stack:

  • Context: your practice areas, fee structures, engagement letter templates, and house style for client communication.
  • Connections: your CRM or matter management, document storage, e-signature, calendar, and billing system.
  • Capabilities: this onboarding sequence, plus intake triage, conflict checks, and matter setup.
  • Cadence: the sequence runs on a schedule, with reminders on days 2, 5, and 10 if the client has not completed each step.

Onboarding only works because Context knows your voice and Connections know where the matter lives. The capability is the visible part. The other three layers are why it does not break.

What “done” looks like

When this capability is installed, every new client gets the same clean start. Concretely, you get:

  • A welcome email sent within 10 minutes of the client being marked won, signed in the responsible partner's name and voice.
  • The engagement letter sent for e-signature with the correct fee terms pulled from the deal record.
  • A digital intake form tailored to the practice area, with reminders on day 2 and day 5 if not completed.
  • A conflicts check task auto-created and routed to the right reviewer with a 24 hour SLA.
  • A matter folder opened in document storage with the standard subfolder structure for that practice area.
  • A kickoff call scheduled using the partner's calendar availability, with a calendar invite and dial-in.
  • A day 14 internal summary to the responsible partner showing what is done, what is open, and what needs a human.

How we install it

We install this in three phases, the same as every AIOS capability.

  1. Audit (free, about 10 minutes): we map your current onboarding steps, where files get stuck, and which systems hold client data. Run the audit.
  2. Install (10 business days): we build the sequence against your engagement letter templates, intake questions, and matter setup checklist. You review each message and approve before it goes live. See plans.
  3. Operate (ongoing): the sequence runs on its own. We add one new automation per week, often expanding into matter status updates, billing reminders, and closing letters.

Expected results

  • Time from signed retainer to first client action drops from 5 to 9 days down to under 48 hours.
  • Intake form completion rates move from roughly 60 percent to 90 percent or higher, because reminders run on schedule.
  • Partners and paralegals save 3 to 6 hours per new matter on coordination, email, and folder setup.
  • Conflicts checks happen on day one instead of day four, reducing the risk of a late-stage problem.
  • Standing guarantee: you recover 40 or more hours a month across the firm, or we keep working free until you do.

Frequently asked questions

Does the system send legal advice or draft documents on its own?

No. The capability handles coordination, scheduling, intake, and standard communications. Anything that touches legal substance goes to a lawyer. The system drafts and routes, the firm reviews and sends.

What if a client asks a question mid-sequence?

Replies are routed to the responsible attorney's inbox, and the sequence pauses on that step until a human responds. The system does not pretend to be a lawyer and does not answer substantive questions on its own.

Will this work with our existing matter management system?

In most cases yes. The Connections layer is built to work with the tools you already use. During the audit we confirm the integrations and flag any gaps before the install starts.
