Inbox Triage and Reply Drafts for Law Firms

Done-for-you inbox triage and reply drafts for law firms. Sort client mail, draft responses in your voice, and keep matters moving without losing the night.

Where this sits

Layer 3 of the AI Operating System: done-for-you workflows that produce real artifacts.

If you run a law firm, the inbox is where the day goes to die. Client questions, opposing counsel, court notices, intake inquiries, billing back and forth, and internal cc traffic all land in the same place, and every message feels like it could be the urgent one. Partners and associates end up reading the same email three times, once to triage, once to think, and once to write back at 9pm.

The Ayothedoc AI Operating System installs an inbox triage and reply drafting layer that reads new mail the moment it arrives, sorts it by matter and urgency, and writes a first draft reply in your voice. You still approve and send. The system just removes the cold start so you spend your attention on judgment, not on staring at a blank reply window.

Where this sits in your AI Operating System

This page sits in the Capabilities layer of the AIOS. Capabilities are the done-for-you workflows that actually do work, like triaging mail, drafting replies, summarizing matters, and following up. They only work because the other three layers are in place:

  • Context: the system knows your practice areas, your matters, your clients, and your tone.
  • Connections: it reads from your inbox, calendar, document store, and matter or CRM system.
  • Capabilities: triage and reply drafting, the focus of this page.
  • Cadence: it runs on every new message and on a morning and end of day sweep, without being asked.

What “done” looks like

When this capability is installed at your firm, here is what is actually sitting in your inbox each morning and through the day:

  • Every incoming email tagged by matter, sender type (client, opposing counsel, court, vendor, internal), and urgency.
  • A short summary at the top of long threads so you do not reread 14 messages to find the one question.
  • A draft reply attached to messages that need one, written in your voice, citing the relevant matter facts and any prior correspondence.
  • Court deadlines, hearings, and filing dates flagged and pushed to your calendar for review.
  • A daily triage digest at 8am and 5pm: what needs you, what is waiting on a client, what was handled.
  • Service level: new client mail acknowledged in under 60 seconds, internal triage refresh every 15 minutes during business hours.

How we install it

We install the AIOS in three phases. No long discovery deck, no six-month build.

  1. Audit (free, about 10 minutes). We look at your current inbox volume, matter types, and where time is leaking. You leave with a written plan whether you hire us or not. Run the audit.
  2. Install (10 business days). We connect to your mail and matter system, load your context (practice areas, common reply patterns, ethical boundaries on what the system can say), and ship the triage and drafting workflow. We test it on real recent mail before it touches live messages.
  3. Operate (ongoing). The system runs on cadence and we add one new automation per week, things like client intake follow ups, conflict check prep, or status updates to clients on long matters. See plans.

Expected results

Grounded ranges from firms running this capability:

  • 2 to 4 hours per attorney per day returned, mostly from not writing first drafts from scratch and not rereading threads.
  • Client acknowledgement time drops from hours to under 60 seconds on new mail.
  • Fewer missed deadlines and dropped balls on long matters, because the morning digest surfaces what is actually waiting on you.
  • Associate ramp time on a new matter drops, since the system surfaces a summary instead of asking them to read the whole file.

Our standing guarantee: you recover 40 or more hours a month across the firm, or we keep working free until you do.

Frequently asked questions

Will the system send email on its own?

No. It drafts, you approve. For law firms we default to draft mode on everything that goes to a client, opposing counsel, or a court. Internal acknowledgements and intake auto-replies can be sent automatically if you want, and only if you turn that on.

How do you handle privilege and confidentiality?

The system runs against your mail with the same access controls you already use. We do not move client data out of your environment for training, and we scope what the drafting model can see per matter. You own the system, the prompts, and the logs.

What if a reply needs real legal judgment?

It still needs you. The point is not to replace the lawyer, it is to remove the cold start. The draft gives you a structured starting point with the relevant facts pulled in, so you edit and send instead of writing from a blank screen at 9pm.
